Code of Practice for car drivers

 
User Responsibilities

It's is the user's responsibility to ensure the vehicle is in a roadworthy condition.

The company reserves the right to withdraw a car if the employee does not operate the vehicle in accordance with group policy.

The company is not responsible for parking or other fines which must be paid promptly. If non payment is notified the increased sum will be paid and deducted from pay.

It is the users responsibility to ensure the vehicle is kept clean and tidy both inside and out at all times

Authority to Drive

The vehicle must be used only on behalf of the business of the company.

Private use of a car is permitted but restricted to :

  • the employee to whom the vehicle is allocated.
  • the spouse of the above.
  • the father, mother, sons, daughters, brothers or sisters of the above provided they are over 23 years of age.
  • other persons over the age of 23 provided the employee or his/her spouse is driving with them.
  • any employee over the age of 23 provided they are using the car for business purposes of the company.

Always providing any one driving the car has held a full valid driving licence for a minimum of 12 months.

Insurance

Insurance is provided for all vehicles.

Notwithstanding what it may say on the Certificate of Insurance,
the rules of the Company permit only those drivers detailed above.

You should note that personal effects belonging to you are not insured,
nor is company property for which you are responsible.

In the event of a poor accident record ( including theft from the vehicle)
the company reserves the right to pass the insurance excess ,
currently £250 back to the employee.

Claims Procedure

If you are involved in an accident you must immediately :-

  • complete and sign a claim form , even if you can not be held responsible in any way as it is necessary for all incidents to be reported to our insurer.

  • notify , by telephone if necessary your divisional car fleet controller who will advise you on what has to be done with regard to repair or replacement of your vehicle.

YOU MUST NOT IN ANY CIRCUMSTANCES ADMIT LIABILITY TO THE THIRD PARTY.

  • you must not arrange for any repairs to be made without authorisation.

  • windscreen repairs are not insured so arrangements can be made but you must use a recommended repairer. This can be obtained from your divisional car fleet controller.

Use abroad

The company's insurance applies whilst you are in Western Europe but you must obtain permission to take your car abroad at least two weeks before you intend to leave.

  • Obtain evidence of authority to drive abroad from the divisional fleet controller.
  • Take out AA 5 star breakdown cover or equivalent.
  • Obtain a foreign travel guide book from Rochester Kemp.

Safe driving and safe parking

Some operating companies within the group have a very poor accident and /or vehicle theft record which is impacting on the cost of our insurance. We are committed to reducing this cost and you can help by being aware of the problem and the need to take reasonable precautions for the safety of the vehicle and more importantly your own personal safety.

To help achieve this objective :-

  • all drivers will participate in the company's driver training programme and any refresher courses we may introduce.

  • vehicle security devices should be put into operation whenever the vehicle is left unattended.

  • vehicle alarms and other security devices should be checked on a regular basis.

Remember our insurance is void if vehicles are not locked...
particularly if the keys are left in the vehicle when unattended.

Do not leave anything in the vehicle. Personal effects are not insured.

Think about where the vehicle is parked... especially at night.
